Hays Talent Solutions - Project Analyst

Role Objective: To support the project team with implementing new Hays Talent Solutions clients and supporting on internal projects in a structured and controlled environment.

Project Support

  • Support in the delivery of assigned project/s; working under the direction of the Project Manager

  • Attend project planning meetings and produce all related project documentation to support the project planning framework -

  • Schedule project team meetings, project board meetings and governance forums as required; ensure all appropriate and current documentation is available to the stakeholders in a timely manner for review and in the agreed format

  • Document all actions and issues and circulate to stakeholders from project team and project board meetings

  • Lead allocated project work streams and reporting progress to the project team

  • Oversee the completion of small projects

  • Produce project documentation -project plans, RAID Logs, Process Maps - ensuring they remain current for the lifetime of the project.

  • Responsible for scribing role within implementation workshops and producing outputs of sessions including producing requirements documents and process flows (MS Visio)

  • Deliver training to internal and external stakeholder on process and the configured system

Change Management

  • Under the direction of the Project Manager and Change Management Subject Matter Expert (SME), be able to produce clear and concise content to support change management process, including but not limited to presentation decks, written communications and supporting training documents

Service Dlivery and Critical Process

  • Under guidance from the Project Manager, ensure the team adheres to Hays Talent Solutions policies, procedures and service delivery standards aligned to the Global Operating Method (GOM)

  • Review and follow up customer feedback, identifying areas for improvement and initiating remedial action as required

  • Support the Head of Project Services with the management of key projects, including ensuring project team are complying with contracts, service agreements and critical processes

  • Ensure adherence to all current legislative requirements - utilizing personal knowledge / expertise as well as specific subject matter experts from within the business to ensure this alignment as part of the projects which are being delivered.

System, Data, Documentation and Information Integrity

  • Demonstrate a commitment to system, data, information and documentation integrity, maintaining a high standard of knowledge and user expertise

  • Maintain the team's commitment to the effective use of systems and correct management of data, information and documentation as part of project delivery

  • Ensure all employees are trained on the project systems and can demonstrate an understanding of their importance

  • ​​​​​​​Continuously identify areas for improvement and communicate to the Head of Project Services where required


Knowledge & Skills

  • Must be proficient in Microsoft Suite

  • Must be able to produce insightful and meaningful content in a visually pleasing way - utilizing the Hays Talent Solutions brand guidelines.

  • Must be able to observe a discussion / workshop and capture key minutes and actions/next steps - including confidently summarizing these for the stakeholders live

  • Must have attention to detail with proven experience successfully maintaining key documents to the highest quality

  • Must be highly organized and detail-oriented with a passion for ensuring projects proceed efficiently and effectively

  • Must be comfortable operating in a fast-paced and changing environment

  • Must be a self-starter who can take initiative

  • Must be a confident communicator, comfortable speaking during both internal and external discussions, in both a virtual and in-person environment.

  • Must be a quick study on new tools and technology, and have an appetite for learning new skills

  • Must have good time management skills, ability to operate in a remote environment

  • Nice to have experience being involved in requirements gathering or process mapping workshops

  • Nice to have MS Visio, or equivalent skills

  • Nice to have MS Project, or equivalent

  • Nice to have previous experience supporting a project / project manager

  • Nice to have experience in the workforce solutions industry, or recruitment

  • ​​​​​​​Nice to have understanding of any of the following: MSP, RPO, VMS, CMO, ATS, CRM
